How Eddie Betts Foundation optimized intake, inquiries, and partnerships in Notion

THE PROBLEM
The foundation was managing youth applications across two overlapping databases. Website inquiries were moving from WordPress into Monday, and partnership deals had no clear system of record. This created three problems: duplicate information, unclear ownership, and sensitive data appearing in places where it should not be visible to everyone. The team needed one trustworthy workspace that could support both public-facing intake and private executive-level partnership work.
THE SOLUTION
I consolidated the workflow into one Notion system. The build included a merged applications database with a clean intake form and approval checklist, an inquiries database that captures submissions directly into Notion and creates follow-up tasks, and a partnerships dashboard where sensitive deal details stay exec-only while operational tasks remain visible to the right staff. The system replaced unnecessary tool handoffs with native Notion forms and role-aware dashboards.
THE PROCESS
We started by mapping how inquiries, applications, and partnership deals actually move through the organization. Before building, I created a visual process map so the team could approve the workflow. Then I made staged changes inside the live workspace, collecting feedback each round to avoid disruption and make sure the final system matched how the team needed to work.
THE RESULT
The Eddie Betts Foundation now has one clearer way to manage intake, inquiries, and partnerships. Two overlapping databases became one clean pipeline. Monday was replaced by native Notion forms. Partnership work now has its own private structure, giving the team better visibility without exposing sensitive information. The result is a workspace that supports the foundation’s operations with more clarity, less duplication, and better privacy.
