Our process.
As a Certified Notion Consultancy, our process is made of five clear stages, followed in the same order every time. It’s how we build a workspace and workflows your team can use with confidence from day one.
Why this process matters
Every workspace and automation we build has to survive contact with real users, not just look good in a walkthrough. This order exists to stop the four ways Notion builds and automations usually fail: over-engineering that doesn’t match how people work, permission chaos, automation stacked on a broken foundation, and systems nobody was trained to use. Follow it in sequence and what you get is a system that solves a real problem, fits how your team already works, and stays manageable long after we leave.

Discover what is really happening
Before we agree on what “done” means, we first look at what is already true. I map your current tools, workflows, handoffs, roles, permissions, pain points, and what already exists in Notion. This turns assumptions into evidence, surfaces risks early, and makes sure the system we build is based on how your team actually works. Includes: discovery calls, current workspace audit, workflow mapping, stakeholder input, risks and opportunities.

Agree on what “done” means
Before anything gets built, we define the finish line together: what you’re getting, what’s out of scope, and what has to be true for this to count as a win. Includes: scope and success criteria, audit of what you already have.

Map it before we move
You approve a blueprint first. Who sees what, who edits what, what stays, what gets simplified, what gets rebuilt. No building starts until you’ve signed off on the map. Includes: architecture, permissions, roles.

Build it where you can watch
We build in your live environment, not behind a curtain. The core system first, then the day-to-day views your team actually uses, then the repeat work turns into automation. Includes: core build, dashboards and portals, automation, notifications, integrations, reporting.

Hand over the keys, then stay
Your team gets trained, video tutorials, and a plain rules-of-the-system section. Then we watch it run under real use and fix whatever real use exposes. Includes: walkthrough, training sessions, revision loop, stabilization.
