HOW WE WORK

Our process.

Ten steps, followed in the same order every time. It’s the difference between a workspace that gets used and one that gets abandoned by month two.

Why this process matters

Every workspace we build has to survive contact with a real week, not just look good in a walkthrough. This order exists to stop the four ways Notion builds usually fail: over-engineering that doesn’t match how people work, permission chaos, automation stacked on a shaky foundation, and systems nobody was trained to use. Follow it in sequence and what you get is a system that solves a real problem, fits how your team already works, and stays manageable long after we leave.

01

Scope & Success Criteria

We start by defining what “done” actually looks like, deliverables, constraints, and the guardrails that shape everything that follows.

02

Audit What Exists

We map your current source of truth, name the real pain points, duplication, manual work, unclear ownership, and decide what stays, what gets simplified, and what gets rebuilt.

03

Architecture & Permissions

We design roles before we design pages: who sees what, who edits what, and what stays private versus what gets shared out.

04

Build the Core System

We standardize the main database, properties, statuses, naming, views, and stand up the operational views your team will actually live in day to day.

05

Build the Experiences

Owners get a dashboard built around priorities and exceptions. Team members and clients get a portal that shows only what’s theirs.

06

Automate the Recurring Work

Repeating workflows become automations, with scheduling rules and safeguards built in so nothing duplicates during the switch.

07

Notifications & Integrations

We decide how people get told things, in-app, mobile, email, validate the integrations that make it possible, and document what has to be turned on.

08

Reporting & KPIs

Every role gets KPIs worth looking at: trend dashboards, not totals, with clear ownership over who edits what.

09

Handoff & Training

A walkthrough, a written guide, live training sessions on-demand, and a plain ‘rules of the system’ section, so the workspace outlives the handoff call.

10

Revision Loop & Stabilization

We watch how it holds up under real use, fix what real use exposes, and run revisions in a controlled way.
