THE PROBLEM

Motoza’s Notion workspace had grown without a clear information architecture. Processes, client knowledge, and internal documentation were spread across pages that were difficult to search and harder to trust. When a team cannot find the answer quickly, they stop using the knowledge base and start asking the same questions again. The agency needed a cleaner wiki core, not just prettier pages.

THE SOLUTION

I started with a full workspace audit to understand what existed, what was duplicated, and where the structure was breaking down. Then I asked the right questions to extract the most relevant information I needed to understand how the business actually runs. From there, I designed a new knowledge base architecture around how the team actually searches for information. The rebuild focused on clear categories, ownership, and one trusted home for every process, so the workspace could become easier to maintain over time.

THE PROCESS

The project started with Phase 1: audit and architecture design, which was reviewed and approved by the client. Phase 2 focused on building the wiki core on top of that structure. Each round was designed to make adoption easier, so the team would not need to work around the system after delivery.
