Talent deals, from inbox chaos to one pipeline

THE PROBLEM

The business depended on fast, accurate coordination between brands and talent, but the workflow was too manual. Deal details lived in email threads. Contacts were stored in a messy CRM. Briefing talent meant rewriting the same information for every campaign, which made the process slow and easy to get wrong. Mabel needed a simple system that matched how deals actually move, and automation for the repetitive communication that happens after a deal changes stage.

THE SOLUTION

I created a Notion workspace built around the full talent partnership flow. The system includes a deal board with practical negotiation stages, a consolidated CRM, a talent portal that organizes deliverables by brand, and a native inquiry form for new opportunities. The most important workflow automation was handoffs based on status change, with other talent brief & inbox automations built out as MVPs to implement at a later stage. Instead of forcing the team into a generic CRM or Monday.com, the workspace was shaped around their real deal-to-delivery process.

THE PROCESS

We started with a focused scoping call to map the deal flow and identify where manual work was slowing the team down. I adapted a structure already proven in the client’s sister organization, then customized it for talent management and refined it through revision rounds with the team. The result was a practical, fast build that solved the workflow first, then added automation where it made the biggest difference.

In less than 5 weeks, Mabel moved from scattered deal management to one working pipeline. Every deal, contact, and deliverable now lives in Notion. Talent can be briefed automatically when a deal moves, and the team has a clearer way to manage brand partnerships without relying on inbox memory or duplicate admin work.
